SPF (Sender Policy Framework) is an email authentication protocol implemented as a DNS TXT record that lists the IP addresses and servers authorized to send email for a given domain. When a receiving mail server gets an email, it checks the SPF record of the sender's domain to verify that the sending server is permitted. If the check fails, the email may be marked as spam or rejected.

For B2B sales professionals, having a properly configured SPF record is a fundamental requirement for email deliverability. Without it, your cold emails and outreach campaigns are at a significant disadvantage because receiving servers have no way to verify your legitimacy. Most major email providers now treat missing or misconfigured SPF records as a red flag.

SPF records work in conjunction with DKIM and DMARC to create a comprehensive authentication framework. While SPF alone verifies the sending server, combining it with DKIM (which verifies message integrity) and DMARC (which sets enforcement policies) provides the strongest possible protection for your domain and the best chance of reaching the inbox.

Key Points

  • A DNS TXT record that authorizes specific servers to send email for your domain
  • Receiving servers check SPF records to validate the sender's identity
  • Must be used alongside DKIM and DMARC for complete authentication

How It Works

You publish an SPF record in your domain's DNS settings listing all IP addresses and services that send email on your behalf. When a recipient's mail server receives your email, it queries your DNS for the SPF record and checks whether the sending server's IP is included. A pass result supports inbox delivery, while a fail can trigger spam filtering.

Best Practices

  • Include all legitimate sending services (email provider, CRM, marketing tools) in your SPF record
  • Avoid exceeding the 10 DNS lookup limit imposed by the SPF specification
  • Regularly review and update your SPF record as your sending infrastructure changes
